An old filing cabinet often outlives the papers it was bought for, then sits in a spare room or office store long after anyone opens it. Empty the cabinet and decide what happens to the papers

A filing cabinet should be completely empty before it is collected. The papers belong to the owner, and only the owner can decide what is kept, archived or destroyed. A collection crew moves the cabinet; it does not read, sort or take responsibility for files.

  • Keep: documents still needed, moved into boxes or another cabinet before collection day.
  • Destroy: confidential papers such as contracts, payroll, bank statements and personal records, sent to a shredding service the owner arranges.
  • Recycle: ordinary paper with nothing personal or confidential on it.

Check behind and under the drawers as well as inside them. Hanging files slip off their rails and papers fall into the cabinet base, where they stay hidden until the cabinet tips. Vertical, lateral and fire-resistant cabinets are different lifts

Not every filing cabinet is the same job. The type decides how many people carry it, whether drawers come out and how it fits the lift. Identify yours before asking for a quote.

  • Vertical cabinets: two to four deep drawers stacked one above another. They are narrow but tall, and top-heavy if the upper drawers open.
  • Lateral cabinets: wide, shallower drawers, often used in offices. They are awkward in narrow corridors and small lifts because of their width.
  • Mobile pedestals: small units on castors that sit under desks, usually collected with the desks themselves.
  • Fire-resistant cabinets: insulated walls make them far heavier than a standard steel cabinet of the same size, and they usually need extra people or equipment.

Most filing cabinets are steel, but some home units are laminated board. A board cabinet with drawers is closer to a chest of drawers in weight and handling, and it does not go to the same recycling route as steel.

Locked cabinets and missing keys

A locked filing cabinet with no key cannot be confirmed empty, so sort it out before collection rather than on the day. Many steel cabinets have a key number stamped on the lock face, which a locksmith or the original supplier may be able to match. In an office, facilities may also hold a master key.

Many steel cabinets also have an anti-tilt interlock that lets only one drawer open at a time. If a drawer will not open, check that every other drawer is fully closed before assuming it is jammed. Do not force a drawer with a tool, because a bent runner can leave the drawer stuck half open during the carry.

If the owner is certain a locked cabinet is empty and wants it removed as it is, say so clearly when booking. The crew can then move it locked, and the owner keeps responsibility for anything still inside.

Moving a filing cabinet out of a home or office

An empty steel cabinet moves best upright on a hand truck, with the drawers secured so they cannot slide open. Lock it if the key works, or tape the drawers shut along their edges. Never carry a cabinet on its side with loose drawers, because they can run out and strike someone's legs.

In towers, check the service-lift size and booking window, since a tall vertical cabinet may need to stand diagonally in a small lift car. Where an old filing cabinet goes after collection

A filing cabinet with smooth drawers, a working lock and its keys can often be passed on to another home or office. One with bent runners, missing keys or heavy rust is usually more useful as metal. Decide which group yours falls into before booking, because a reusable cabinet should be kept clean and upright.
