House Clearance Checklist for Dubai: Room by Room, Before the Crew Arrives

A whole-property clearance goes wrong in the rooms nobody walked through, not in the rooms everyone was worrying about. This checklist is built around the property itself: who is allowed to decide, what each room typically holds, what belongs to the building rather than to you, and what has to be true before the keys are handed over. Use it to write the list a house clearance crew in Dubai actually works from, whether the home is a two-bedroom apartment or a villa with a garage.

What this checklist is for, and the one it is not

This list is organised by property. It walks the home space by space and asks what is in each one and where it is going. It is not a list of booking stages; the sequence from quote to collection day to the final walk-through is covered in the junk removal checklist for homeowners, and the two are meant to be used together. A whole-home clearance needs the room list first, because the room list is what turns into the quote.

Before anything else: authority and the stay list

Two things have to exist before a single item is listed for removal: a clear answer to who can authorise the clearance, and a written list of what stays. Everything else on this checklist depends on both.

  • Name the one person who can say yes or no on the day. If the property belongs to a landlord, a family member abroad or an estate, confirm that person has agreed to the scope in writing.
  • Write the stay list before the go list. It is shorter, it is easier, and it protects the items that matter most: anything the next occupant is entitled to, anything with a decision still pending, anything you want to keep.
  • Decide what happens to belongings that are not yours to remove. A tenant's abandoned items, a housemate's boxes or a relative's furniture stay off the list until their status is settled.
  • Fix the handover date and work backwards from it. The clearance needs to finish before cleaning starts, and cleaning needs to finish before the inspection.

Room by room: what to record in each space

Walk the property once with a notepad or a phone, in the same order the crew will, and record three things per room: the large items, the loose contents, and anything that needs a decision or a specialist. Photographs of each room from the doorway are the fastest way to get an accurate quote.

  • Living and dining: sofas, dining set, TV unit, rugs, curtains and blinds, wall-mounted items and their brackets, the contents of every sideboard drawer.
  • Bedrooms: bed frames and mattresses as separate items, wardrobes noted as freestanding or fitted, chests of drawers emptied, and anything stored on top of the wardrobes, which is the most-missed space in the home.
  • Kitchen: which appliances are leaving and which belong to the property, the contents of every high cupboard, opened food to be binned before the crew arrives, and gas or water connections that need a technician.
  • Bathrooms: usually loose items only, but note any freestanding cabinets, mirrors and medication that has to be disposed of separately rather than thrown in the general load.
  • Maid's room, storeroom and laundry: often the densest spaces in a Dubai home, and the ones where belongings left by a previous occupant turn up. Record them in the same detail as a bedroom.
  • Balcony, garden and garage: outdoor furniture and its weighted bases, planters and soil, bicycles, paint and chemicals, and in villas the garden waste that goes on a different route from the furniture.

One form per room, three lines per room: large items, loose contents, decisions pending.

The rooms that matter most for the quote are the ones that look empty from the door: storerooms, garages and the tops of wardrobes. A villa in a community like Arabian Ranches routinely carries a garage's worth of items that were never counted because nobody opened the garage during the walk-through.

Fixtures, fittings and what belongs to the property

In a rented home the line between belongings and fixtures decides what may leave at all. Anything on the handover inventory belongs to the property and stays unless the landlord has agreed otherwise in writing. That usually includes fitted wardrobes, kitchen units, built-in appliances listed on the inventory, curtain rails, light fittings and, in many apartments, the AC units.

  • Compare the room list against the tenancy inventory, item by item, before the crew is booked.
  • Mark fixtures physically on the day, with tape or a note, so a crew working fast does not lift a landlord-owned appliance that looks identical to the one being removed.
  • Keep loose parts that belong to fixtures, such as shelves, remotes and keys, in one labelled bag excluded from the collection.
  • If a fixture has to come out, such as a wall-mounted TV bracket you installed, decide who makes good the wall, because the crew removes the bracket and the inspection notices the holes.

Documents, valuables and the last look inside things

Every drawer, box and bag that is going on the load gets opened once by someone who knows what matters to the household. A clearance crew loads a closed carton as a closed carton; it will not check whether the passports are inside. Do this before the crew arrives, not while they are carrying.

  1. Gather passports, tenancy documents, warranties, keys and access cards into one bag that leaves the property with you, not with the load.
  2. Empty every piece of furniture that is leaving, including the drawer under the bed and the back of the wardrobe shelf.
  3. Set aside anything with data on it, such as old phones, laptops and drives, and decide whether it is being wiped, kept or collected as electronics.
  4. Separate paint, chemicals, gas cylinders and medication from the general load; these need their own disposal route and the crew will ask about them.
  5. Photograph anything valuable that is leaving, and anything valuable that is staying, so there is a record either way.

Access, permits and the building

A perfect room list still fails if the truck cannot reach the door. The building side of the checklist is short but every line on it has stopped a clearance at some point.

  • Tower: move-out or removal permit requested from building management, service lift booked for the window, loading bay location and time limit confirmed.
  • Villa community: gate or security notified of the vehicle, driveway clear on the day, any community rules on working hours checked.
  • Route: the measured width of the narrowest door and the lift car, so the crew knows in advance which pieces come apart.
  • People: who opens the door, who stays for the duration, and who signs off the empty property at the end.

The handover check

When the last load has gone, walk the property once more in the same order as the first walk, room list in hand. Open every cupboard, every high shelf and the meter cupboard. Check the balcony and the garage. Confirm every item on the stay list is still there and undamaged, and that nothing on the go list is left behind. If a deep clean is booked, it starts after this walk, not before; the order of the two is worked through in house clearance and cleaning in Dubai.

The value of a checklist like this is not the ticking. It is that the room list written on the first walk becomes the quote, the crew's instructions and the handover proof, without being rewritten in between. Write it once, properly, and the rest of the clearance follows it.

FAQ

Frequently Asked Questions

Should I write the list of what stays or what goes first?

Write the stay list first. It is shorter, and it protects the items that matter most, including anything the landlord or next occupant is entitled to. Everything not on the stay list and not pending a decision becomes the go list.

Which rooms are most often missed on a house clearance list?

Storerooms, garages, the tops of wardrobes and the maid's room. They look empty from the doorway and are rarely opened during the first walk-through, so they are the usual source of an inaccurate quote.

How do I stop the crew removing something that belongs to the landlord?

Compare the room list with the tenancy inventory before booking, then mark landlord-owned items physically on the day with tape or a note. A crew working quickly cannot tell two similar appliances apart without a marker.

Does the crew check inside boxes and drawers before loading?

No. A closed carton is loaded as a closed carton. Open every box, bag and drawer yourself before the crew arrives, and keep documents, keys and valuables in a bag that leaves with you.

Can I hand this checklist to someone else to run on my behalf?

Yes, as long as that person can make decisions on the day and has the stay list in writing. If you are abroad, agree the list with the crew in advance so nobody has to interpret it at the door.
